Customising your pipelines and stages

The default stages (New Inquiry, Contacted, Site Visit, Bid Sent, Won and Lost) suit contractor and physical-service work. They are only a starting point, and you can run more than one pipeline when different kinds of work move through different steps.

Changing a pipeline's stages

Open the Pipeline tab, choose the pipeline if you have more than one, and click Customise stages. Changes apply to the pipeline you are looking at.

• Rename: type over a stage name and it saves when you leave the field.
• Reorder: the arrows move a stage earlier or later on the board.
• Add: new stages are added at the end of that pipeline.
• Remove: only when the stage is empty. A pipeline always keeps at least one stage.

Running more than one pipeline

Use a second pipeline for work that follows different steps, such as service renewals or maintenance calls, so it does not crowd your sales board.

• Create one: click New pipeline, give it a name, and start with the standard stages or a copy of an existing pipeline's stages.
• Switch between them: the Pipeline menu above the board appears once you have two. Your choice is remembered on that device.
• Move a lead to another pipeline: open the lead with Edit and change its Pipeline; it lands in the first open stage there. On a phone or tablet, the move menu on the card lists the other pipelines too.
• Rename, make default, or delete: all three are in Customise stages for that pipeline.

The default pipeline

One pipeline is the default. Leads imported from a spreadsheet, and clients you add directly (which appear in its Won stage), go into the default pipeline, and the pipeline chart on the Overview tab reports on it. When you add a lead by hand, the form asks which pipeline, starting with the one you are viewing.

Pipelines and stages belong to your account alone. Changing them affects nobody else. On a team account, creating and changing pipelines needs the manage pipeline permission; anyone who can see the board can still move leads.
